The front desk is doing three jobs at once

An independent practice usually has one or two people answering the phone, checking patients in, chasing insurance, handling intake paperwork and working the recall list. All at the same time, all day. Something is always being dropped, and usually it is recall.

Intake paperwork

The phone

Most calls are appointments, reschedules, insurance questions and directions. Those can be handled without a person, which frees your front desk for the patient actually standing in front of them.

Recall is where the revenue is

Every practice has a recall list and almost nobody works it properly, because it is nobody job when the day is busy. Automated, personal recall reminders are usually the fastest return in the building.

Questions people actually ask

What about HIPAA?
It shapes the whole build. Patient data stays in systems with a business associate agreement in place, clinical questions route to humans, and anything touching PHI is designed for it rather than retrofitted. If a vendor treats this as an afterthought, that tells you something.
Will this work with our practice management system?
Usually. Dentrix, Eaglesoft, Open Dental and the main medical systems all have a way in. Where an integration is genuinely closed, I will tell you before we start rather than after.
Are you replacing our front desk?
No, and most practices I talk to are already short-staffed. The point is that the person at the desk gets to deal with the patient in front of them.
